Assistant to the CEO

Boss HQ, LLC is a hiring strategy and Boss best practices consulting firm working with CEOs, Business Owners and Entrepreneurs to ensure they develop the hiring and management skills with an organizational structure to scale and grow more easily. As the Assistant to the CEO, you will make sure that THIS Boss gets the support and time to focus on delivering for clients and the business required for successful growth.


Boss HQ is currently hiring an Assistant that will support our CEO and our clients by way of document production, review & formatting, scheduling, marketing support ensuring brand alignment, operational research and systems support. Additionally, this role requires a customer forward capacity to facilitate correspondence for scheduling and excellent follow up process. The ideal candidate thrives in a fast-paced, focused work environment.


This part time position works a set schedule 20-hour week remotely within our growing hiring and management strategy firm that serves English speaking clients throughout the world.  Currently Boss HQ is based in SE Georgia, this new remote position reports directly to the CEO.


Daily you will get to use your outstanding project coordination experience to track, organize and progress on-going growth initiatives documentation and scheduling efforts.  You will work directly with this fast-talking, driven CEO to assess priority and tasks that can be easily taken over and resolved.


Projects include content and platform management,  program and marketing documentation formatting, technology research and solution implementation, follow up telephone calls, text and email communications to clients, contacts and vendors, speaking and travel arrangement support, binder fulfillment and additional tasks as necessary to assist CEO. Occasional personal task assistance required as well.  


The ideal candidate has specific and detailed experience with the administrative side of business and has worked within a small business, consultancy or coaching firm. You also are HIGHLY tech savvy and are confident in your capabilities to fully utilize online solutions such as project management software, documentation management software, the full Microsoft Suite including Word, Excel & Outlook, and instant messaging systems.


As Assistant to the CEO, you will ensure that the CEO’s needs are met timely while delivering answers that are consistent and true to the Boss HQ culture, our mission and our process. 

Responsibilities include:

  • Proactively manage and complete the day-to-day projects as assigned within the project management system.

  • Schedule and correspond to expedite CEO responsiveness and facilitate client/ contact needs.

  • Proactively monitor and update the CRM system to ensure effective contact data, email automation and landing pages are complete and accurate.

  • Utilize marketing system to proofread  and test landing pages

  • Coordinate new client documentation

  • Track and monitor milestones on client journey.

  • Research and assist with coordination of events, speaking gig and travel needs.

  • Support continued development and platform administrative needs.

  • Spearhead new platform and system implementation as identified by CEO.

  • Creation of client binders and deliverables including video loading on to systems and platforms.

  • Attend all meetings as assigned prepared and timely for most efficient use of time.

  • Identify, track and progress scheduling correspondence with a sense of urgency and escalating to CEO as necessary.

Ideal Candidates will:

  • 3 years minimum administrative experience.

  • 3 years minimum marketing efforts support experience.

  • 3 years customer service experience.

  • Excellence working with Microsoft Word, Adobe PDF and online documentation sharing solutions

  • Excellence in details and organizational skills

  • Comfort using a wide variety of online solutions for business including video conferencing, CRM, Project Management and content hosting platforms..

  • Demonstrate strong understanding of small business marketing processes.

  • Demonstrate strong verbal and written communication skills.

  • Display professionalism and patience for those learning.

  • Have professional experience using instant messaging systems.

Preferred, but not required:

  • Asana or other project management software experience

  • Professional membership or community intranet facilitation

  • Canva and image creating software

  • Airtable familiarity

  • Last Pass familiarity

  • Zoom familiarity.

Benefits and compensation: This part time position is hourly and pays $24-$28 an hour dependent upon experience. Benefits for part time positions include paid time off and holidays.

Boss Specialist

Part Time - Remote

Boss HQ is a hiring strategy and Boss best practices consulting firm working with CEOs, Business Owners and Entrepreneurs to ensure they develop the skills and the organizational structure to scale and grow more easily.


Boss HQ is currently hiring a Boss Specialist that will support our CEO and clients by way of recruiting and management document review & drafting, training (virtual as well as on-site training workshops in Savannah. GA 3-5 times a year), and community engagement. This part time position works a set schedule 20-hour week (11- 3 or 1-5 EST) remotely within our growing hiring and management strategy firm that serves English speaking clients throughout the world.  Based outside of Washington, DC in Virginia, this remote position reports directly to the CEO.


Additionally, you will get to use your training experience to create computer screen and audio recordings to advise clients on their submitted work to offer expert insights and best practice recommendations in a timely, professional, and positive manner. You will work directly with most clients as a part of the onboarding to video conference train them on how best to get the most out of our online resource platform.


Through our private community online platform and social media, you will engage with customers to answer program relevant questions and continue to ensure that our clients feel supported without judgment through each stressful, confusing, or overwhelming step of being a Boss. You get to help celebrate their wins too!


The ideal candidate has specific and detailed experience with the hiring and managing side of human resources. You also are HIGHLY tech savvy and are confident in your capabilities to fully utilize online solutions such as project management software, documentation management software, the full Microsoft Suite including Word, Excel & Outlook, and instant messaging systems.

Project support includes program documentation updates and development, recruiting support for organizational structuring projects, virtual speaking engagements support and more. Additionally, this role will assume lead trainer for our Manager Boss Day (2 day) workshops as those continue to grow in demand.

As Boss Specialist, you will ensure that customer needs are met timely while delivering answers that are consistent and true to the Bossification program and Boss HQ process.

Responsibilities include:

  • Proactively manage and complete the day-to-day projects as assigned within the project management system.
  • Support the clients through daily monitoring and engagement within the private client and social community.
  • Use online tools to record your review of client submissions to offer program relevant suggestions and best practices for improvement of hiring and management documentation for small business use outside of legal or financial advice – we are not lawyers or accountants.
  • Support private client needs with “in the moment” challenges through live video conferencing ( or telephone when client requests) that is recorded for internal documentation.
  • Schedule and conduct 20-minute welcome training for clients on how to navigate and use the Bossification platform.
  • Facilitate Mastermind meetings for our clients.
  • Draft and edit Hiring Sequence documentation for project clients.
  • Assist in recruiting for organizational structuring clients including employment ad placement, screening employment candidates, initial interviews, and assessments as well as reference checks for project clients.
  • Travel to and lead 2-day workshops in Savannah. GA 3-5 times a year.


Ideal Candidates will:

  • 3 years minimum management experience.
  • 3 years minimum recruitment experience.
  • 3 years professional training experience.
  • Excellence working with Microsoft Word, Adobe PDF.
  • Excellence in learning and using a wide variety of online solutions for business including video conferencing.
  • Demonstrate strong understanding of human resource disciplines.
  • Demonstrate strong verbal and written communication skills.
  • Display professionalism and patience for those learning.
  • Have professional experience using instant messaging systems.
